Payment Policies

All payments are due in full at the time of service.

 

We accept:

Deposits are required for all appointments. The deposit is applied to the consultation charge at the time of the appointment, and is refundable only if the appointment is cancelled with at least 48 hours notice.

Late Arrivals, Cancellations and Missed Appointments

In order to provide prompt service for each of our pet families, we have the following policies. Please reach out to us as soon as possible if you have any changes to your plans.

  • You can cancel or change an appointment up to 48 hours before the scheduled appointment without a fee.

  • If you are arriving more than 10 minutes late for the appointment, you will be asked to reschedule so we can provide a full appointment time for your pet. Rescheduling fees apply unless changes are made at least 48 hours before the scheduled appointment. 

  • An exam fee of up to $84 is charged for all missed appointments. The fee depends on the quoted exam charge for that appointment. 

  • Frequent last-minute cancellation and/or rescheduling may require pre-payment for future appointments or discontinuation of patient status.

Low Stress Handling

  Wellness is our primary core value at Veterinary Wellness Center. This includes both physical and mental wellness for our patients. We recognize that fear, anxiety, and stress can have significant negative impacts on a pet’s health and wellness, and these negative effects can worsen over time.  

 

  Our staff undergoes additional training in low-stress handling techniques and pet body language that allows us to identify signs of fear, anxiety, and stress earlier and change the treatment approach for more positive outcomes.   If at any time the doctor determines that your pet cannot be examined in a low stress manner that is safe for both the patient and VWC staff, we will develop a plan to help your pet relax or sleep during any necessary examination and treatments. This plan may include pre-visit anti-anxiety medication, sedation, training, and/or rescheduling the appointment. The consultation charge applies whether or not a full physical exam is completed, but rescheduling fees will not apply in this situation.

  Due to the serious consequences of untreated fear, anxiety, and stress in our patients, it is clinic policy that all pets with prescribed pre-visit anti-anxiety medication must receive these medications as recommended for each visit. We will work with you to adjust any recommended medication doses to find the right balance for your pet. If you choose not to give the medication, you will be required to reschedule. Rescheduling or cancellation fees will apply if notice is not given at least 24 hours before the scheduled appointment time. If pre-visit anti-anxiety medications and other anxiety management treatments are declined, we are not willing to cause psychological damage to your pet and will provide you with your pet’s medical records to seek care elsewhere.

Informed Consent

Persons must be 18 years of age or older and legally able to seek care for the pet in order to authorize the Veterinarians and Staff of Veterinary Wellness Center (VWC) to examine the pet and provide medical care.

 

The person bringing the pet into the clinic assumes full financial responsibility for all authorized charges, and authorizes VWC to obtain any previous medical records from other veterinarians as necessary to provide effective medical care.

Persons seeking care for their pets have been made aware of, and agree to, the following VWC policies:

  • All payments are due in full at the time services are rendered. We accept Cash, Check with ID, Credit Cards, and CareCredit.

  • For their safety, all pets are required to be on a leash or in a carrier at all times.

  • All pets will, at all times, be treated with the care and compassion we would treat our own family members.

  • Photos of pets may be taken while in the practice, and may occasionally be used for educational purposes or posted on social media. No images or information will be used that would identify pet owners personally without specific permission.

  • All pets are scanned for a microchip during their visit. If a microchip is found, reasonable effort will be made to contact the microchip registrant. 

  • An examination with our veterinarians is required at least once every 12 months to maintain a current Veterinary-Client-Patient-Relationship and be eligible for prescription medications. 

  • If a pet is coming in for health concerns, preventative care may be delayed until health concerns are fully addressed and treated by the care team.
